Use Dropbox? Follow these useful tips on speed and security

Dropbox is a popular file sharing tool used by thousands of real estate pros, but are you using it to its full potential? And is your Dropbox as secure as it could be? Tech blog Gizmodo recently published a number of tips for Dropbox users aimed at boosting both speed and security when sharing files between different devices.

Top tips for Dropbox users

1. For those who have a tendency to use more than one device, it probably means they forget to log out of Dropbox each time they switch to using a different phone, tablet or PC. If logging out of Dropbox each time isn’t in your routine, or is too inconvenient, you can try using your account settings’ security page to check the list of devices that are currently logged in. From there, you can remove any devices that are still logged in (and also check for devices you don’t recognize, a sure sign you’ve been hacked!).

2. Dropbox users love to share links to different folders and documents with their colleagues, but this can create hassles in the long term. Therefore, it’s recommended to check the Link settings and create an expiration date for every link you send out. This setting also allows you to review and manage links you’ve previously shared. It’s worth setting an expiration date to prevent unauthorized people from spying on your documents.

3. If you need to see one of your colleagues’ or clients’ documents, simply send them an invite – what this does is send them a link where they can then send the document (which will only be visible to you). Simply go to dropbox.com/requests and you’ll be able to choose which folder income documents are to be sent to, and then you can set a deadline for the request if it’s urgent.

4. Protect your Dropbox account with a unique PIN number. By doing so, you’ll prevent unauthorized persons from accessing your documents. If the wrong PIN is entered 10 times, all offline Dropbox files will be wiped from your device immediately.
